Adding / changing a staff pay rate

Adding pay rates to your employee records allows you to forecast accurate employment cost for the shifts that you plan on the staff rota without any further calculations necessary. You can also enter a sales forecast and see your labour cost percentage by day, and by week.


Who can add & see pay rates?

  • The Venue Manager can add, edit and see all pay rates including them self.

  • Assistant Management can add, edit and see all pay rates for 'Staff' only. Assistant manager roles cannot see, edit or a venue manager or other assistant manager's pay rates.

  • Staff cannot see any pay information and have no access to the staff management screen.

How do I set or change a pay rate?

Step 1

Log into Hopsy and under the 'Staff' Dropdown, select the 'Staff Management' option.

Step 2

For the appropriate staff member push the 'Settings' button.


Step 3

Within the staff profile page:

  1. Select the 'Pay Rates' tab:

  2. Enter the appropriate value

  3. Choose per hour or per annum pay

  4. Push update


  • Changes will take effect immediately only.

  • Changing a pay rate will not effect historic figures on previous days.

  • The history of pay rates shows who has implemented the pay rate, and when it took effect.


Types of Pay

Pay per hour

Rota cost is generated based on how many hours the employee has across their shifts on the rota.

Pay per annum

Employees with a 'per annum' pay rate generate a fixed daily and weekly cost independent of shifts added to the rota.


When does a pay rate take effect?

Once added, pay rates will be applied immediately. It is not possible to back date pay or set a pay change to happen in the future.

What happens if I change the employee from hourly to annual pay?

The change will take effect from the start of the day you made the change. If you change a pay rate from hourly to annual mid-week, the weekly cost will be part made of hourly, and annual. Hopsy will automatically work this out for you.
